GDPR Statement
The new EU General Data Protection Regulation (GDPR) comes into force on 25 May 2018 (including in the UK
regardless of its decision to leave the EU) and will impact every organisation which holds or processes personal
data. It will introduce new responsibilities, including the need to demonstrate compliance, more stringent
enforcement and substantially increased penalties than the current Data Protection Act (DPA) which it will
supersede.
Best Western Hotels - controller of your personal data
For the purposes of the Data Protection Act 1998, we Interchange and Consort Hotels Limited trading as Best
Western Hotels Great Britain are a data controller. In order to process your booking or brochure request we
need to collect certain personal details from you. These details will include, where applicable, your name and
contact details and those of party members, credit/ debit card or other payment details and special requirements
such as those relating to any disability or medical condition which may affect your chosen arrangements and any
dietary restrictions which may disclose your religious beliefs.
Storage of your personal data
All customer data captured via the booking process belongs to Best Western GB. Best Western GB would also
like to store and use your personal details for future marketing purposes (for example, sending you a brochure or
details of a promotion). All details you give us in connection with your booking will be kept but we will use only
names and contact details for marketing purposes (unless you have asked us not to).
We use a data services company to analyse data on our behalf, in order for us to tailor future marketing
campaigns effectively. Any companies we use are registered under the Data Protection Act. We only provide
any such companies with the personal details relating to our clients, which they require in order to deliver the
service back to us. They are prohibited from using that information for any other purpose. We will ensure that
anyone to whom we pass your details for this reason agrees to treat it with the same level of protection we are
obliged to provide.
In the event that we are subject to a change of ownership or corporate structure, we may need to disclose your
personal data to persons who need to know in order for the transaction to proceed.

Certain personal information is required when making a booking. This information usually includes your full
name, postal address, telephone number, email address, credit card number and expiry date. It may also include
your preferences regarding the delivery of your service such as room type and type of bed.

Your personal information is used to make your reservation and reservations for other members within your
group. It will allow us to invoice you and to contact you were necessary regarding your booking.
Credit and debit card information will only be stored for taking payment for services provided.
Where you have consented, we may use your information to let you know by email news of special offers which
may be of interest. If you do not opt in to receive these communications, we will not send them to you. You may
unsubscribe at any time using the link provided on all our email communications.
Your details are never passed to any other companies for their marketing purposes.

reasonable period or as long as the law requires.
You are always free to refuse to provide personal information to us but this may limit our ability to serve you.

Our website records IP addresses and produces server logs. This information is used solely for monitoring the
volume of traffic the site receives and measuring the number of visitors. We do not use the information for
tracking the activities of individual visitors to this site.
